What software do you recommend for coin inventory files?----- UPDATE!!!!!

I need a new system to log inventory. What do you recommend?

    Is there a program for entering certified coins as well as raw coins and bullion?

    I don't think this will work,,,, it says "System Requirements: Windows 7, 10 or 11"

    I use a MAC and Safari

    Excel is simple enough. I apply the format to private web pages so I can view the collection on the go.

    I know you've used Excel before, but are looking for something different, though I don't know why. However, my recommendation would be Excel every time.

    The truth is I lost all my excel files and will have to recreate them so I thought I would see if there was something better. I was happy with excel just frustrated with my stupidly in losing all of them.

    Numbers (spreadsheet app) on my Mac and iPhone. I keep the file on iCloud so I can access the data anywhere and it’s automatically backed up.

    I use the registry. But, I only collect seated liberty quarters so it's not very complicated.

    LibreOffice (Calc – spreadsheet) it's like Excel but Free and you do not have to pay anyone anything.......

    Any software will be same with the speadsheets as Excel, and then in any Office you can build your own design Database. All the database software has behind speadsheet which is base on Fortran mathematical programing language

    I like Excel. You don't have to wait on software updates and you can modify to your own needs.

    My old Excel program got corrupted as it was 15 yrs old. I purchased a new version and will continue to use it.

    I have used excel since the very early issues and did not like the office 365 version so I still use my 2003 excel.
    Can't imagine using any thing else. I have found many people using excel do not use it as intended. Without code and/or training, it can be a very basic spreadsheet.
    A warning, I also have lost my excel inventory sheets through a windows issue, so I now keep my excel files in both windows and a flash drive as I started doing with all my impt files many years ago.

    I use Exact Change. It works well enough, though I wish I understood the report writer much better.

    I use Excel, the data is in the cloud and I can access it either from my Windows puter or my IOS iPad.

    I use CoinElite and have for many years. It does everything I want. I have like 7000 entries in the program.

    Currently I use PCGS for my PCGS certified stuff and a spreadsheet/workbook (Excel) for everything else.
    I make a new sheet/tab for each collection, denomination, type, set, or whatever.
    For example I have a sheet/tab for bank wrapped cent rolls, proof sets, mint sets.
    The spreadsheet/data is in the cloud, so I can access from anywhere, any device.

    Prior to this I purchased and used a software package. The software was ProCoin.
    Long story short the database got corrupted, no backup. They tried to help me recover, but I gave up.
    So, I started from scratch.

    The third party approach is nice if you use the additional functions/features.
    The layout of data entry screens, data validation, pictures, regular software updates, support ... etc.

    You can try OpenNumismat. It's free and new features are added regularly. It is available for Windows, Linux and macOS. You can import coins from Excel, other software and numismatic sites.

    Looks interesting.... but the first I've heard of it. Anyone else have any info regarding it? Security issues, spam, etc., that may be associated with it?

    My computer had crashed and I had to completely redown load my operating system. I had all my files backed up on a memory stick but I couldn't get them to open so I was down thinking that I had lost all of them. After thinking about it I realized that I no longer had an excel program on my computer so I assumed that was why they weren't opening. I bought a new excel program and like MAGIC I have all my files back.

    This is a BIG relief as although I have paper copies of most files entering all the data into a new excel program would have taken me way too many hours.

    Good to hear you were able to recover your data. I use a multiple SSD storage system with my operating system on its own SSD, media on its own and documents and games on their own SSD. So if Windows goes down, nothing else is lost. I have also used a RAID. Bottom line is always have a backup. I recently built my own system and it’s the best thing I have done. I can’t wait to build another one someday.

    I just use excel. Like designing spreadsheets. Works very well for me. I do use the Pcgs inventory (registry) app too.

    I have been using the program for years and have had no problems. The program is open source and you can build it yourself, as well as look at the code if something bothers you.

    just leaving this here, I know this post is old....but yea so is coin technology...

    I built mycoinworx.com its completely free and handles everything from collectors to coin shops. It has integration with PCGS, NGC, CACG and soon Anacs. It also supports ancients (if thats your thing). Its completely mobile friendly and has a lot of other cool tools, such as reporting, transaction tracking, and more. Hope yall like it, I built it because my LCS was in the stone age.

    Hey Fuzy, thanks for putting that in. We are still mapping some of the "non standard" coins and moderns. PCGS coin IDs are not updated in their pdf doc (we use this as our master list to map from the certs). The system will try to intelligently map based on what it reads, and then if it doesnt the user can override. We have over 15,000 mapped. You just hit one of our dead spots.

    If you do NOT see the right coin category / coin type drop me a message using the support / feedback. We are 45 days into launch and still updating coin types that werent on the list.

    A good Excel Spread Sheet still works best ... easy to customize for your own information, and for generating all the reports one can dream ... just limited to real time quotes.

    Late to this one, but a couple of things in the thread caught my eye — people losing Excel files, wanting something that works across Mac/iPad/phone, and asking about photos. So I'll throw one more option in. Full disclosure up front: I'm involved in building it, so weigh that accordingly.

    It's a web-based catalog called Cardfile.it. The idea is basically "Excel, but built for cataloging." You define your own fields, so for coins you'd set up grade, cert #, mint, metal, purchase price, whatever matters to you. It runs in any browser on desktop and phone (so no Windows-only headache on a Mac), you can attach photos and scans — slab pics, cert PDFs — to each entry, and search is instant. There's a demo on the site with no signup if you just want to click around.

    Where it won't compete: it doesn't pull live market values and it's general-purpose, not numismatics-specific, so there's no PCGS/NGC cert lookup. If that integration is the main thing you want, the dedicated coin software mentioned above will serve you better. But for "Excel with photos, backups and access from any device," which sounds like what a few people here are after, it does the job nicely.

    Excel has worked for me for the last 20 years. Lists my Morgan, Peace & WLH collections in 1 file. Have the coin, date of purchase, dollar amount paid, current wholesale market price which I review every few months, seller, seller/TPG grade, my grade, common, key, or semi-key designations, coin characteristics, i.e. white, toned, VAM, strike, luster. Also have a tab for those sold & their P/L. Excel is the easiest to use and it is saved in my hard-drive, Windows Onedrive and a thumb drive. File has everything but pictures which are jpegs in the thumb drive.

    I have never had an issue with going from PC to Mac or vice versa with an Excel file.

    Excel. Be sure and backup. Guy in coin club his excel data went kaput when his computer flaked out. Back it up on flash drive to avoid such. It made him so mad that now he does his acctg journals on acctg paper in a binder. As far as his collection / inventory he had to start list from scratch. He has no clue if hackers or not. What he likes about it is he can include a cc of the sales slip (orders) for his sales stuff in the GJ (general journal).

    I use Excel too, but lately I've been thinking about trying a custom program by messing with Claude, by describing the program that I want and the OS that I use and then giving it a few other ideas before it makes one for me.

    And give it the ability to input previous information from older Excel file to avoid duplicate input.

    Excel. The filtering feature has been essential for tracking basis for tax gains/losses.

    Coming back to Cardfile.it, the app I mentioned earlier in the thread.

    Thanks to everyone who clicked through and gave it a look — a couple of you even signed up, which honestly made my day.

    I certainly haven't built it to compete with Excel and I'm genuinely happy for anyone Excel works for - they don't have the problem I needed to solve. I started on it in those moments when Excel wasn't quite enough for me — mainly that I couldn't easily attach pictures, or longer notes.

    Honestly, my goal here isn't to talk anyone into switching. It's a fairly new app and I'm still figuring out how it should actually work, so what I'm really after is feedback. I'd be really glad if someone gives it a try and tells me what they think — even brutally negative is totally welcome :) — because that's exactly what helps me shape it into something genuinely useful for collectors.
