Help to catalog cards!

I am up to about 500 griffey base/insert cards and its getting tough to keep track of them. I dont remember what I have when I am talking trades online...any idea of a great way to organize the cards? Im thinking about a spread sheet? I also go to shows and buy cards...whats a good way to track what I have when I am on the move? how do you guys organize them and keep track of everything??

    I have used a very complex spreadsheet for years, but something new is on the way shortly that will make this go away for me.

    i keep things very simple. I collect yankee topps base cards from 1952 to 2010. I have a small pocketsized notebook that i keep on me with all of my want lists organized by year. that way whereveri am I can pull it out to see if i need the card. I also keep all of my doubles on hand on the side in case i want to make a trade.

    the Beckett website allows you to keep a live inventory, and will keep them well organized... if you don't lose your mind getting through all the bugs they have.

    I use an excel spreadsheet for my Ripken cards, with Beckett Book Values.

    I use an excel spreadsheet too. I log in all my graded cards so I know what I have. The neat thing about is you can conduct searches on it. For example, if you have 1000 cards logged in already and you are looking for your Wade Boggs cards, you can simply go to the player category and put it in alphabetical order and then you have all of Bogg's cards together in one area to look at. You can even do the same if you want to know how many "10" grades you have from PSA or BGS or so on.

    Off the top of my head, I use the following categories:

    year, manufacturer, card#, player, Grading company, Grade, purchase price, purchase origin, special notes


    You can add or modify the categories according to your taste or needs. There are special software out there for card collecting, but I found them to be limiting in some ways. With excel, I can customize how I see fit and I think I usually favor more information than less.

    Its happened to me that there is a special story about how I purchased a particular card and that is why I prefer to have the "special notes" category so I can record that information too.

  • I'm curious to know what others do. I use to use the Beckett site but quit b/c of all the bugs with the new design. I now just use a spreadsheet and the PSA Registry site (My Inventory) for my graded PSA cards. Curious to hear more...

    Beckett brought back the old style registry (same as PSA's) and it works great (for BGS cards)...

    I currently use a spreadsheet (or four), but am currently working on a Website to handle all of it more gracefully - reports, Ebay watches, etc.

    Okay, so i just realized i have excel. Wow, had no idea i had it. Anywho. I have been playing around with it a bit, but was wondering if someone had a good sample pic i could use as a reference. I'm thinking i should have the following: Year, Company, Sub set, # and Notes. Also, is it possible to organize the cards by year and then change it to company, or # without having to re enter all the info?( all the years are mixed together. Will it arrange the cards automatically as i input them??) Also how easy is it to copy and paste the work into txt documents so i can poston my site what i have and what i need? any other tips or help would be greatly appreciated.

    I copy/paste Beckett's online checklist of Ripken's library (with prices) into an excel file (using Paste Special/Unicode Text) and then I added a quantity column. After that I added a Total Value column, and put a total sum at the bottom. That way it changes as I add/subtract cards. This works really well if you stay on top of it, but I haven't maintained mine for a year or so. I have to do another inventory. I have over 4000 raws now, which feels like a lot to me, but there are tons of people on here that would put mine to shame.

    I usually just scribble #'s on old envelopes, hope this helps!
  • If you are more technically savvy and have it, Microsoft Access is really good too. You can build a database and query or sort what you want from the list. With Excel, just be careful to sort so that you don't lose your header (top row) into the document or sort some rows/columns and not all of them at the same time as that will hose up your info.

    Excel rule #1: ALWAYS save your sheet before sorting or doing a Find&Replace.

  • If you use Excel, you may want to create a back-up of your list if you are prone to errors. Of course, go under "Edit" and select "Undo" at the top is good to know too.

    If you place each item that you could want to sort by into its own column; then you can sort any way you want to. As an example...

    Year; Card#; Company; Player Name; Variety; Your Cost; Date Acquired; Value; Grading Co; Grade; Cert# ; Population Grading Cost; Notes

    These are some of the colums that I have in mine. Then if you select all; you can click on data and sort anyway you desire, i.e. all Year Baseball in card number order...

    It won't arrange the cards automatically but its very easy to sort it any way that you want. Hope this helps.. if you PM me a email address I email you a sample sheet
