Letter writing help

I am submitting some more Callahans. The second set of Callahans I submitted came back in "bigger" holders with plastic bags. I wrote up this letter and will include it with the submission. I am use to writing demanding letters (Collection Manager for almost 10 years) and sometimes I feel I come over to "strong". Please take the time to read this and let me know what you think.

***BEGIN LETTER***
To whom it may concern:

I am submitting form #XXXXXXX and a continuation sheet for 28 1950 Callahan HOF cards. I write No qualifiers on all my submissions and you have been great in not using them. Thank you.

I would also like to request the use of the proper sized holder for these cards and not to use the larger holder with a “plastic bag”. I put that on the submission form but I don’t know if I conveyed it properly. I did not on my first submission and received them in the “sized” holder. My last submission they came back in the “bagged” holders.

I have submitted Callahan’s in the past and still have about 30 more to submit and I find my customers like the holders that “fit” the card and not the larger holders with the plastic bags.

    Very well written. When I am writing a scolding type of business letter, I'll always try to give the sendee an out by suggesting that part of the blame may lie with me. By doing that, you make them less defensive and they'll go out of their way to help you. Another nice touch is starting the letter with a compliment about them paying attention to other things you write on the submission forms (NQ).

    Example of bad communication: "WTF!!! You read the NQ on the submission forms but you couldn't read where I didn't want the GD plastic bags!!!"

    You avoid this type of thing nicely.

  • I could never understand why PSA couldn't have a few different size holders to accomodate all sizes of cards.

    I also hate the mylar sleeves.

    A $1000.00 card looks like crap floating around on a 45 degree angle.
  • I don't know that this or any letter will help you. I don't think they put them in the mylar sleeves just to annoy you (but I could be wrong about that image). I believe they only use those when the cards just don't fit correctly into the available holders (i.e., slightly larger than other cards).

    I have heard that and its understandable. But I have also heard it is "easier" to slap it in a mylar bag and slab instead of taking the time and checking the size and seeing if it fits into the slab that was "designed" for it.

    And just becasue 2 of my 28 does not not fit and needs the "bag treatment" it does not mean the rest do.

    General thought is the letter expresses my concern without being pushy. I guess I need to also state I want the cards graded and if they need to go in the baggies (becasue of size) thats fine. Or do I need to add that?

    Who knows if you're overthinking this or not. Will your letter actually make it all the way to the graders/encapsulators? I don't know. Perhaps when your invoice is entered online - everything is then electronic at that point - and unless the data inputter makes a special effort to keep your note there - perhaps nothing will come of it.

    Well I write NQ's and have yet to receive one. A few of my Callahans have been OC enough to warrant them. So they do get information to the graders.

    I agree - I doubt your letter will make it past the person who unpacks the order. But, I do understand your point, and perhaps they will make some sort of note of your request.

    Let me say I ASSUME they get information to the graders.... image I think I will give them a call today as suggested by Stone just to make sure.
